Privacy notice

Effective October 16, 2026. The Washington Grove Elementary School PTA (“the PTA”) is a volunteer-run nonprofit. This notice explains what this website collects, why, and how you can control it.

What we collect and why

• Helping-hand form: your name, email and/or phone, interests and availability, so we can contact you when an event needs help.
• Shift sign-up: your name and contact details, to organize that shift and send you reminders.
• Email updates: your email and preferred language, only after you confirm your subscription.
• Google Calendar check (optional): we ask Google only whether you are free or busy, never what your events are. Unless you tick “Keep checking”, we revoke the permission when you send the form. If you tick it, we keep free/busy-only access, stored encrypted, so PTA leaders can see when you might be free (7 AM–7 PM) and email you about new events. Stop any time with the link in our emails, by replying, or in your Google account settings.
• Family sign-in: Cloudflare Access verifies your email so you can see event details. We do not use passwords.

What we do not do

• We do not sell or share your information for advertising. We do not use tracking cookies or third-party analytics.
• We do not collect information about students. Please do not enter details about your children in our forms.
• We do not post photos of students without written permission from their family.

Who can see it

Only PTA board members who organize volunteers and communications. We use Cloudflare (hosting, email and sign-in) and Givebacks (payments) as service providers.

How long we keep it

We delete volunteer and sign-up data at the end of each school year (June 30) unless you ask us to keep it. Consent records are kept for 3 years to show that you gave us permission.

Your rights

You can ask for a copy of your information, correct it, delete it, or ask us to stop contacting you. Use the form below or email washingtongroveespta@gmail.com. We respond within 45 days.
